Why this role exists
The Founder runs a Mumbai-based business coaching and leadership development practice working with founders and senior executives across India. The business is growing fast enough that the Founder's time is becoming the bottleneck. This role exists to remove that bottleneck — you absorb the coordination load, own the operational follow-through, and ensure that nothing important falls through the cracks so the Founder can stay focused on client work and strategic decisions.
What you'll own
- Manage the Founder's calendar end-to-end — scheduling, rescheduling, prioritization — with zero double-bookings and proactive buffer management around high-stakes meetings
- Prepare meeting agendas, capture minutes, and own follow-up trackers until action items are closed — you are the accountability layer
- Handle correspondence and communications on the Founder's behalf where delegated; draft responses that match tone and intent without requiring edits
- Track open tasks and deadlines across internal teams; surface delays early rather than waiting for the Founder to ask
- Coordinate workshops, training programs, and business events — logistics, vendor bookings, attendee communication, and on-the-day execution
- Manage vendor relationships: follow up on deliverables, coordinate invoices with the accounts team, and flag anything off-track
- Maintain clean records, databases, and MIS reports that the Founder can rely on without cross-checking
- Handle ad hoc operational requests — the unexpected ones that matter as much as the planned ones
What we need from youMust-have
- 3–6 years supporting a founder, director, or CXO — not just administrative support, but genuine business coordination
- Track record of managing a senior leader's calendar independently without needing daily instructions
- Strong written English — you draft communications, not just forward them
- Proficiency in Google Workspace and MS Office (Excel for tracking, Outlook for email management)
- High discretion — you will handle sensitive business and client information routinely
Nice-to-have
- Prior experience in consulting, coaching, training, or professional services environments
- Exposure to event or workshop coordination (not just meeting scheduling)
- Familiarity with CRM tools or project management tools (Notion, Asana, or similar)
- Experience managing vendor negotiations or invoice processing directly
